Privacy Policy

How Fleet Safety IQ collects, uses, stores, and protects fleet driving data, dashcam video, driver biometric information, and account data.

🔒 The short version: We collect driving and vehicle data to run the fleet safety program. We do not sell your data to insurers, advertisers, or data brokers. Video clips are private to your authorized fleet account. Driver biometric data is used only for driver identity matching and is never shared with any third party.

1. Facial Recognition & Biometric Data

⚠️ The Fleet Safety IQ AI dashcam uses facial recognition technology to identify drivers and link detected driving behaviors to individual driver profiles. This constitutes collection of biometric data under applicable state laws including the Illinois Biometric Information Privacy Act (BIPA), the Texas Capture or Use of Biometric Identifier Act (CUBI), and similar laws in Colorado, Oregon, California, and Washington.

Data Processing Through the Motive Platform

Fleet safety data collected through the Fleet Safety IQ program — including GPS location, vehicle telemetry, driver behavior events, and dashcam footage — is processed by Motive Technologies, Inc. and subject to Motive's Privacy Policy in addition to this policy.

Fleet Safety IQ, as a Motive Fleet Safety Partner, facilitates program setup and coaching support. Customers enter into subscription agreements directly with Motive. Motive is the data processor for all fleet telematics and AI dashcam data collected through the platform.

What is collected

The driver-facing camera analyzes facial geometry to identify the driver and link AI-detected events (hard braking, distraction, drowsiness, phone use, lane departure) to that driver's individual safety profile within the fleet account. Facial geometry data is processed on secure servers and used solely for driver behavior matching and fleet safety analytics.

How it is used

  • Driver identification to enable individualized safety scoring and coaching
  • Linking specific driving events to identified drivers within fleet reports
  • Generating driver-level safety scores and trend analysis for fleet managers

What we do not do

  • We do not sell, lease, trade, or profit from biometric data
  • We do not share biometric data with insurance companies, data brokers, or advertisers
  • We do not use biometric data for any purpose other than driver behavior matching within the fleet account
  • We do not retain biometric data beyond program termination

Fleet operator responsibility

As the fleet operator, you are responsible for obtaining any required driver consents before activating the facial recognition features of the Fleet Safety IQ program. This includes written consent requirements in Illinois (BIPA), consent requirements in Texas, Colorado, Oregon, California, and Washington, and any other jurisdiction where your vehicles operate. Biometric privacy laws are evolving — it is your responsibility to monitor applicable law in all jurisdictions where your fleet operates.

Data retention and deletion

Biometric data is retained for the duration of the active program subscription and deleted within 60 days of subscription cancellation or program termination. Fleet operators may request earlier deletion at any time by contacting Safety@FleetSafetyIQ.com.

2. What We Collect

Account data

When you sign up we collect your name, company name, email address, phone number, billing address, and payment information. Payment card data is processed and stored by Stripe — we do not store card numbers on our servers.

Fleet and vehicle data

We collect vehicle identification information, GPS location during trips, speed and acceleration data, trip history, and OBD-II vehicle diagnostics data where enabled.

Driver behavior data

AI-detected events including hard braking, hard acceleration, sharp cornering, lane departure, phone use, distraction, drowsiness, forward collision warnings, seatbelt status, and speed-over-limit events. Safety scores calculated from this data. Trip summaries and session-level metrics.

Video clips

Short video clips (typically 20–60 seconds) captured by the dashcam when an AI event is detected. Clips include road-facing and driver-facing footage. Video is stored in encrypted cloud storage with access restricted to authorized account users.

Website and account usage

Standard web analytics including page views, session duration, browser type, and referral source. We use Google Analytics 4. We do not use advertising trackers.

3. How We Use Your Data

  • Deliver the fleet safety program — scoring, reports, alerts, coaching workflows
  • Generate monthly safety reports and driver-level analytics
  • Send transactional emails — account confirmations, invoices, alert notifications
  • Provide customer support
  • Improve the accuracy of AI detection models (using anonymized aggregate data only)
  • Comply with legal obligations

We do not use your fleet data for advertising, do not sell it to third parties, and do not share it with insurance companies without your explicit written consent.

4. Video Clip Retention

Video clips are automatically deleted after 30 days by default. Extended retention (90 or 180 days) is available on the Safety Intelligence plan. Clips can be manually saved by authorized account users — saved clips are exempt from automatic deletion. Fleet managers can export clips for insurance, legal, or training purposes at any time during the retention window.

5. Who We Share Data With

  • Stripe — payment processing. Stripe's privacy policy governs their handling of payment data.
  • Cloud storage provider (Cloudflare R2 / AWS S3) — encrypted video clip storage.
  • Email service provider (Resend) — transactional email delivery.
  • CRM (HubSpot) — account and lead management. Contact data only — no driving or video data.

We do not share driving data, video footage, safety scores, or biometric data with any third party without your explicit written consent, except as required by law.

Data Breach Notification

In the event of a data breach that affects your personal information, we will notify you as required by applicable law — and in any case within 72 hours of becoming aware of the breach if it poses a risk to your rights or freedoms. Notification will be sent to Safety@FleetSafetyIQ.com.

We maintain security incident response procedures and conduct regular security reviews. If you believe your account has been compromised, contact us immediately at the address below.

6. Security

  • Encryption in transit: TLS 1.3 for all data in motion
  • Encryption at rest: AES-256 for all stored data including video and biometric data
  • Role-based access controls — staff access limited to operational requirements
  • Regular security audits
  • Geographically redundant cloud storage

Cookies & Tracking

We use a minimal set of cookies necessary to operate the site and the program dashboard. We do not use advertising cookies, third-party tracking pixels, or behavioral retargeting.

Cookies we use

  • Session cookies: Required to keep you logged in to your account. Deleted when you close your browser.
  • Preference cookies: Remember your display preferences (e.g. dark mode). Expire after 30 days.
  • Analytics cookies (Google Analytics 4): Anonymized page-view data to help us understand how the site is used. No personally identifiable information. You can opt out at tools.google.com/dlpage/gaoptout.

We do not use advertising cookies, sell cookie data, or allow third-party ad networks to place cookies on our site. You can disable all non-essential cookies in your browser settings without affecting your ability to use the program.

7. Your Rights

Right to correct

You may request correction of inaccurate personal information at any time by contacting Safety@FleetSafetyIQ.com. We will process corrections within 30 days.

You may request access to, correction of, or deletion of your account data at any time by contacting Safety@FleetSafetyIQ.com. Deletion requests are processed within 30 days. Biometric data deletion requests are processed within 30 days of receipt.

California residents have additional rights under the CCPA/CPRA including the right to know what data is collected, the right to delete, the right to opt out of sale (we do not sell data), and the right to non-discrimination for exercising these rights.

International Users

Our services are designed for users in the United States. If you access this site from outside the United States, your personal information may be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you may have additional rights under the General Data Protection Regulation (GDPR) or equivalent laws, including the right to access, rectify, erase, restrict processing, and data portability. To exercise these rights, contact us at the address below. We will respond within 30 days.

Our legal basis for processing personal data from EEA users is: (a) performance of a contract, where processing is necessary to provide the service you signed up for; (b) legitimate interests, for security monitoring and fraud prevention; and (c) your explicit consent, for biometric data processing.
